This Privacy Policy describes how DataPortal / GotYou Tracking (Pty) Ltd ("we", "us", or "our") collects, uses, and protects information when you use the RidePortal mobile application.

1. Information We Collect

1.1 Location Data

The RidePortal app collects precise location data (GPS coordinates) while the app is in use. Specifically:

• Foreground location – collected while the app is open, used to show drivers and passengers their current position on the route map and to coordinate pick-up and drop-off.
• Background location – collected while a trip or chauffeur booking is active (even when the app is not in the foreground), used to track vehicle or driver progress, update estimated arrival times, and to transmit the user's location in the event a Panic / SOS alert is triggered.

Location data is sent to our secure servers in real time during active trips and is retained for operational and safety audit purposes.

1.2 Personal Information

• Name and employee/passenger ID – used to identify users within your organisation's fleet or transport system.
• Phone number – used for driver/passenger communication and notifications.
• QR code check-in data – scanned when boarding a vehicle to log trip participation.

1.3 Device Information

We may collect basic device identifiers (model, OS version) for app diagnostics and crash reporting. We do not collect advertising IDs.

2. How We Use Your Information

• Coordinate rides, shuttle routes, and chauffeur bookings between drivers and passengers.
• Display live vehicle tracking on the in-app map.
• Send and receive trip status notifications.
• Respond to Panic / SOS alerts by sharing the triggering user's location with designated control-room personnel.
• Generate trip history reports for organisational administration.
• Diagnose technical issues and improve app performance.

3. Data Sharing

We do not sell your personal data. Location and personal data is shared only:

• With other users within your organisation (e.g. dispatchers, control-room operators) as required for the ride or chauffeur service.
• With our hosting infrastructure providers (servers located in South Africa) under confidentiality obligations.
• If required by law or to protect the safety of users.

4. Data Retention

Trip location records are retained for up to 12 months for operational auditing. You may request deletion of your personal data by contacting us (see section 7).

5. Security

All data is transmitted over HTTPS/TLS. Access to personal and location data is restricted to authorised personnel within your organisation and our operations team.

6. Children's Privacy

RidePortal is not directed at children under 13. We do not knowingly collect personal information from children.
